Are you passionate about making a difference in the lives of children, teens, and families? Do you thrive in a dynamic, people-centered environment where every interaction matters? Calo Programs, a nationally recognized leader in trauma-informed care, is seeking a warm, organized, and driven Admissions Coordinator to join our team in the beautiful Lake of the Ozarks region.

As an Admissions Coordinator (AC), you’ll be the welcoming face and guiding hand for families, referral partners, and professionals navigating the admissions process. Reporting to the Director of Admissions, you’ll play a vital role in ensuring a smooth, compassionate, and efficient experience from the first inquiry to enrollment.

This is a highly interactive role that blends relationship-building, administrative precision, and mission-driven service. You’ll collaborate across departments, represent Calo at events and conferences, and help families take the first step toward healing.

Responsibilities

  • Serve as the primary point of contact for prospective families, referral sources, and treatment professionals.
  • Guide families through the admissions process with empathy, professionalism, and attention to detail.
  • Coordinate and facilitate virtual and in-person tours, enrollment meetings, and follow-ups.
  • Maintain accurate records in Salesforce and BestNotes; ensure all documentation is complete and compliant.
  • Support marketing and outreach efforts, including attending expos, conferences, and professional events (some travel required).
  • Develop a deep understanding of developmental trauma, ACEs, and Calo’s unique clinical model.
  • Collaborate with internal teams to ensure timely and successful admissions.
  • Learn and support funding processes including Medicaid, school district contracts, and Single Case Agreements.

Qualifications

  • Must be at least 21 years of age.
  • High school diploma or GED required; bachelor’s degree in a related field strongly preferred.
  • Experience in residential treatment, behavioral health, or admissions is a plus.
  • Strong interpersonal, organizational, and communication skills.
  • Ability to pass a background check and meet health requirements.
  • Willingness to travel occasionally for events and conferences.

Benefits

  • Medical, Dental & Vision Insurance – Multiple plan options including PPO and HDHPs with HSA eligibility and company contributions.
  • Paid Parental Leave – Up to 6 weeks fully paid for exempt employees and 4 weeks for non-exempt.
  • Life & Disability Coverage – Company-paid life, AD&D, and long-term disability; voluntary life and optional short-term disability available.
  • 401(k) with Company Match – Retirement savings with matching contributions after eligibility period.
  • PTO & Holidays – Competitive PTO accrual plans and paid holidays throughout the year.
  • Employee Assistance Program (EAP) – Free, confidential support for life’s challenges.
