Join Calo Programs—a pioneering residential treatment center for adopted preteens and teens—as an Academic Administrative Assistant & Registrar, where your work directly supports student healing, growth, and success.
 
In this vital role, you’ll partner closely with the Academic Director to manage student records, enrollment, scheduling, and compliance, ensuring seamless academic operations. You’ll serve as a key communicator across faculty, treatment teams, families, and external stakeholders while maintaining accurate transcripts and academic data.
 
As part of a collaborative, mission-driven team, you’ll help create an environment where students become lifelong, academically and socially competent learners—all within a trauma-informed, relationship-centered model that puts heart first.

 

 

Responsibilities

 

Administrative Support

  • Provide day-to-day administrative support, including calendars, meetings, and communications
  • Prepare reports, presentations, and official academic documents
  • Maintain confidential records in compliance with privacy regulations

Registrar Functions

  • Manage student records, transcripts, enrollment, and graduation data with accuracy
  • Verify academic progress and graduation eligibility; support audits and completion reviews
  • Ensure data integrity in systems (Best Notes) and compliance with policies and standards

Student & Faculty Support

  • Serve as primary contact for student inquiries on registration, records, and policies
  • Support faculty with rosters, grading systems, and scheduling needs
  • Guide students and staff on academic procedures, timelines, and requirements

Compliance & Data Management

  • Safeguard student record confidentiality in line with FERPA and regulations
  • Monitor compliance with institutional policies and accreditation requirements
  • Compile, analyze, and report academic data; assist with audits and reviews

 

 

Qualifications

  • At least 21 years of age 
  • Ability to pass criminal background check 
  • Free of communicable disease, other evidence of ill health, or a condition which adversely affects ability to care for or poses a threat to children 
  • Experience – Experience working in a school system and understanding of educational requirements and credits preferred.  
  • Education – Accredited High School/GED.  Bachelor’s degree preferred.
